Define the project and decision process

Send the site address, project name, point of contact, and who is requesting the proposal. Clarify whether this is a direct-owner project, a general-contractor bid, a maintenance scope, or an early budget discussion.

Include the bid deadline and requested format, any mandatory site meeting, the anticipated schedule, and the current drawing or specification revision. Share changes as they are issued.

Describe the fence and gate scope

  • Fence type, height, finish, layout, approximate quantities, and specifications
  • Posts, foundations, fabric or panels, hardware, and specified product requirements
  • Gate quantities, opening widths, operation type, and vehicle or pedestrian use
  • Removal, temporary access, phasing, and tie-ins to existing systems
  • Alternates, allowances, exclusions, and items furnished by others

Identify site conditions and access

Note occupied areas, operating hours, delivery restrictions, access routes, storage limits, grade changes, known utility conflicts, and other trades working nearby. Explain whether an existing boundary must remain functional while work proceeds.

For automated gates, identify the intended access-control functions and the responsibilities for power, communications, civil work, equipment, commissioning, and user handover. Those responsibilities should be explicit rather than assumed.

Bring qualification requirements forward

Send project-specific insurance requirements, documentation, contract forms, submittal requirements, background or site-access requirements, and any bonding, wage, certification, or procurement conditions early.

These items require project review. This checklist does not represent that every requested qualification or contract condition has been accepted or can be satisfied.

Keep commercial warranty terms separate

Commercial, industrial, government, multifamily, and general-contractor work is not covered by the residential limited lifetime warranty. Warranty terms follow the proposal, contract, specifications, or other written agreement.

Unless otherwise specified in writing, DJ Fence & Gate provides one year of workmanship coverage on commercial installations. Include required warranty language with the bid documents so it can be reviewed.

Send the package

Email plans and specifications to info@djfenceandgate.com, or use the commercial inquiry form with a document-sharing link. Confirm that shared files are accessible without sending passwords, alarm information, or gate access codes.

Submitting a package starts a review; it is not an acceptance of the scope, deadline, or contract. We will discuss project fit and next steps directly.
